
Nassau County Records Indexing System
Screen A is the main menu screen for the Nassau County Records Indexing system. The county has greatly improved their records indexing system. All records are now indexed in one computer system. This computer went on-line July 1, 1992 for all records except land records. Land records started to be indexed on this system April 8, 1992 .The main menu in screen A has many indexing options available to the user. This tutorial will explain the three highlighted options. The first option explained will be number 2, "Inquiry By Party Name". Enter "2" on the option line and press return. Screen B will appear.
Enter the search name on the lines provided, tabbing between fields. The only field that has to have information is the "Surname" (last name) field.
The other fields may be left empty. After the name is typed, press enter. Screen C will appear. The system will also do "Phoentic Search" by using "F16", one of the special function keys on the top of the keyboard.
Screen C displays all the records that match the highlighted search name "FRANK SMITH". The area below the dotted line relates to the information in each record. For example, "DOC DESCRIPTION" refers to "INDEX/RJI/NI" in record one, and "BRC/DEED" in record 2. The computer lists all records in its database, it does not differentiate between land records or court records or judgments. In order to view detailed information on a record, tab down to the line next to the record, enter an "X" on the line and press enter. For Line 2, screen D will appear.
Screen D and Screen E are examples of expanded record information for the name searched. Screen D is the detailed information for record 2, the deed. The liber and page is 10051/563, the document was recorded on 3/01/93, the transfer tax was $1044.00 and the parties are listed at the bottom of the screen. Peter and Matt Young were the grantors (sellers) and Frank and Yvonne Smith were the grantees (purchasers). The section, block, and lot are listed on the bottom of the screen. A trick to finding out the selling price of the property is listed on the screen. The transfer tax for the property is $1,044.00. As discussed in Chapter 1, the transfer tax is $2.00 per $500.00 of sales price, or $1.00 per $250.00 of sales price. Multiply the transfer tax by 250 (250 X $1,044.00 = $261,000.00) to arrive at the sales price of $261,000.00.
Screen E is the detailed information for record 3, the Index/RJI/NI. This entry is Supreme Court case records. The index number of the case is 93-005839, the document was recorded on 3/30/93, and the parties are listed in the middle of the screen. Gloria Jones is the plaintiff and Frank Smith is the defendant. The document code of C56 is an Index Number. The county clerk uses hundreds of codes in the system. A complete listing of the document codes can be found in room 106 right next to the computer terminals.
The bottom of Screens D & E have "F" functions. More information can be viewed by pressing the corresponding function keys ( i.e., F5 for party information). "F3" will take you back to the main menu screen, for another search.
Screen F is an example of Main Menu option 8, "Inquiry by Section/Block/Lot/Unit". All properties in Nassau County are assigned specific section, block and lot numbers. "Unit" refers to condominiums. Enter the section, block and lot numbers. Tab to the next field. You may enter a document code after "Document Group" to have the computer search for only certain documents (i.e. deeds, mortgages). It is recommended you leave this field blank. Screen G will appear after you press return.
Screen G lists the documents for the block and lot searched. The information between the dotted lines refer to the entries the same way as in Screen C. "F3" will take you back to the main menu screen.
Screen H is an example of a Global Inquiry, Main Menu option 9. From this screen, you can limit the search by entering information in more than one field. For example, you can enter a name and also a section, block and lot. The "Inquire Using Identifier" option lets you search by document, reel and page or control number. The control number is assigned to a document by the Nassau clerk. After the information has been entered for the search, press return. The information will appear on the screen in a form similar to that of screen D or screen E.
